Our statutes do not mention electronic voting. Can we still do it?

Usually yes, but check the wording before you commit. Many statutes describe the guarantees a vote must offer rather than the medium it uses, which leaves electronic voting available. Others require an express amendment or a governing board resolution. Send us your text and we will tell you which of the two you are in, including when the answer is that you need a statutory change first. We would rather say so now than run a process that gets annulled.

There is no app to install. It is a web page on any device, with a support line staffed through the whole voting window. If part of your roll is genuinely offline, you can run the election as a hybrid: we set up an assisted voting point in your offices on the same electoral roll, so those members vote with help and still nobody votes twice.

Who is responsible for what?

We are responsible for the platform, the technical configuration, the integrity and verifiability of every vote cast, the monitoring during the voting window, and the count, reports and evidence at close. You are responsible for the accuracy of the electoral roll at the statutory cut-off date, for who is entitled to vote, and for the procedural decisions that belong to your electoral board. No provider can take those decisions for you, and you should be wary of one that offers to.

How long do we need before election day?

A simple vote can be live the same week. A full statutory election with the managed service is normally planned four to six weeks ahead, mostly to leave room for electoral board approval, the rehearsal and the communication to members, rather than because configuration takes that long.

Where does our member data live?

In the EU, under a signed data processing agreement, used only to run your vote and deleted on the schedule you set. The roll is minimised to an identifier plus one contact channel. Who is on your electoral roll, and whether they voted, is sensitive information. We treat it that way.

Has a result run on Vocdoni ever been challenged?

No. No voting process Vocdoni has organised has been challenged. Several have been audited and checked, by the organisation itself and by third parties, and everything came back clean every time. We would rather you did not take that on faith either: every election closes with the documents that let somebody else check the count for themselves.

Can we keep the results hidden until voting closes?

Yes. In encrypted mode nobody sees any result while the vote is open, including us, and the tally is published automatically at close. The alternative is a live running tally, which suits an internal consultation but rarely a board election.

It looks expensive for what it is.

Compare it with one challenged process, not with a licence. A single challenge means external counsel, a governing body meeting under pressure, months of a mandate in question and often re-running the whole vote, the second time under public scrutiny and with lower turnout. Then compare the licence with what the process already costs you today: printing, postage, the venue, staff hours and a count that runs past midnight.

Who actually does the checking?

In practice, your auditor, a member with some technical confidence, or the adviser of whoever is disputing the result. The file we hand you at close contains every document and figure the audit needs, plus step by step instructions for redoing the count. None of it needs our help, our permission or our continued involvement. Your electoral board does not have to run the check itself: it has to be able to point at someone who can.

Low turnout, high cost, and a result somebody can challenge

A board election is judged twice: by the members who did or did not take part, and, if somebody objects, by a court. Both judgments land on the same desk, and so does the bill.

At the statutory cut-off date the electoral roll is locked and sealed with a short code that changes if a single name is added or removed. A dispute about who was entitled to vote takes a minute to settle.

The electoral board sees turnout as it happens and gets the certified export directly. No access to individual votes, and nobody can say the numbers passed through your office first.
