The challenge
COIB represents thousands of nurses across Barcelona. Holding an annual general meeting that everyone could take part in meant members travelling to a single location, which limited participation and cost members time and money. The college wanted to open up the AGM without compromising on the formality and security a statutory vote requires.
Requirements
The process had to authenticate members securely, keep ballots secret, and produce results that were trustworthy and immediate. It also had to be simple enough for a broad, non-technical membership, and bring the agenda, documents and live stream together in one place.

COIB ran a unified online voting environment for the 2025 AGM. Members logged in with two-factor authentication by SMS or email, accessed the agenda, supporting documents and the live stream in one place, and cast their vote from any device. Real-time assistance was available via chat throughout.
Results
Members took part remotely or in person, saving up to €50 each in travel costs, and the result was tallied instantly and verifiably at the close of voting. The college ran a modern, inclusive AGM without giving up any of the guarantees a professional body needs.
